Terms & Conditions

Please Read Carefully:

Effective Date: July 2026 

These Terms & Conditions ("Terms") govern the purchase of tickets and attendance at VertiCon events produced by Beemer Wolf Productions ("BWP", "VertiCon", "Organizer", "we", "our", or "us"). 

By purchasing a ticket, creating an account, accessing our website, or attending any VertiCon event, you acknowledge that you have read, understood, and agree to these Terms, our Refund & Exchange Policy, and our Code of Conduct. 

VERTICON TERMS & CONDITIONS 

1. Ticket Purchases 

All ticket sales are subject to availability. 

BWP reserves the right to refuse, limit, cancel, or modify any order due to inventory limitations, pricing errors, suspected fraud, unauthorized transactions, technical errors, or any circumstance deemed necessary to protect the integrity of the event. 

Purchasers represent that they are authorized to use the payment method submitted and that all information provided is accurate and complete. 

  

2. Convention Admission Tickets 

Convention admission tickets (including single-day, multi-day, VIP, or weekend passes) are final sale. 

Admission tickets are: 

  • Non-refundable  

  • Non-transferable  

  • Not exchangeable for another event  

Admission tickets remain non-refundable even if Guests cancel, schedules change, programming changes, or experiences are modified. 

  

3. Guest Experience Tickets 

Guest Experience Tickets include, but are not limited to: 

  • Meet & Greets  

  • Photo Opportunities  

  • Autographs  

  • Selfies  

  • Workshops  

  • Premium Experiences  

  • Any ticket tied to a specific Guest appearance  

Guest Experience Tickets are final sale and are non-transferable. 

Eligibility for an exchange or refund exists only if the specific Guest associated with the ticket officially cancels their appearance at the event, as outlined in the Refund & Exchange Policy. 

  

4. Guest Appearances 

Guest appearances are subject to professional commitments, production schedules, travel delays, health concerns, force majeure events, and other circumstances beyond BWP's control. 

While BWP makes every reasonable effort to present advertised Guests and programming, no Guest appearance, autograph session, photo opportunity, panel, Meet & Greet, workshop, or other activity is guaranteed. 

For purposes of these Terms, a Guest cancellation occurs only when BWP officially announces that a Guest will no longer appear at the event. 

Changes to: 

  • appearance times  

  • schedules  

  • locations  

  • programming  

  • experience format  

  • experience duration  

do not constitute a Guest cancellation. 

  

5. Event Changes 

BWP reserves the right to: 

  • modify schedules  

  • substitute Guests  

  • relocate programming  

  • change room assignments  

  • adjust event hours  

  • modify event operations  

  • postpone or cancel programming when necessary. 

These operational changes do not entitle attendees to refunds except where specifically stated in the Refund & Exchange Policy. 

  

6. Missed Experiences 

Guests and attendees are responsible for arriving at the correct location at the scheduled time. 

Failure to attend, late arrival, scheduling conflicts created by the attendee, or failure to follow event procedures may result in forfeiture of the experience. 

Missed experiences are not eligible for refund, exchange, replacement, or compensation. 

  

7. Code of Conduct 

All attendees must comply with the VertiCon Code of Conduct. 

BWP reserves the right to refuse admission or remove any attendee whose conduct is: 

  • disruptive  

  • abusive  

  • threatening  

  • unsafe  

  • discriminatory  

  • unlawful  

  • otherwise inconsistent with maintaining a safe and enjoyable event.  

Removal from the event results in forfeiture of all tickets without refund, exchange, or compensation. 

  

8. Accounts 

When creating an account through VertiCon or an authorized ticketing platform, you agree that: 

  • you are legally authorized to make purchases;  

  • your information is accurate;  

  • you will maintain the security of your account credentials.  

BWP is not responsible for unauthorized access resulting from your failure to protect your account. 

  

9. Limitation of Liability 

To the fullest extent permitted by law, BWP shall not be liable for indirect, incidental, consequential, special, or punitive damages arising from attendance at the event, use of the website, Guest cancellations, schedule changes, programming modifications, or circumstances beyond BWP's reasonable control. 

  

10. Governing Policies 

These Terms should be read together with: 

  • Refund & Exchange Policy  

  • Code of Conduct  

  • Privacy Policy  

In the event of a conflict, these Terms govern unless otherwise expressly stated. 

  

11. Payment Disputes 

If you believe you have been charged in error or have an issue with your purchase, you agree to contact Beemer Wolf Productions at support@verticonbwp.com before initiating a payment dispute or chargeback with your financial institution. We are committed to working with our attendees to resolve legitimate concerns whenever possible. 

Nothing in this section limits any rights or remedies available to you under applicable law. 

  

12. Photography, Video & Media Release 

VertiCon is a public event. By attending, you acknowledge and agree that photographs, video recordings, livestreams, audio recordings, and other media may be captured by Beemer Wolf Productions, its authorized representatives, members of the media, exhibitors, sponsors, Guests, and other attendees. 

  

By attending the event, you grant Beemer Wolf Productions the irrevocable, worldwide, royalty-free right to use, reproduce, publish, distribute, edit, and display your likeness, voice, image, and appearance as captured during the event in any media now known or later developed, for promotional, marketing, archival, editorial, or other lawful business purposes, without further notice, approval, or compensation. 

  

Attendees may photograph or record only where expressly permitted by VertiCon and must comply with all event policies regarding photography, video recording, and Guest interactions. Certain Guests, panels, performances, or experiences may prohibit photography, recording, or livestreaming. Failure to comply with these restrictions may result in removal from the event without refund. 

  

13. Guest Interaction & Experience Policies 

Guest Experience Tickets provide admission to the designated experience only. Unless expressly stated, the purchase of a Guest Experience Ticket does not guarantee a specific amount of interaction time, conversation length, pose, autograph personalization, selfie opportunity, physical contact, or any other specific interaction with a Guest. 

  

Guests retain discretion over reasonable aspects of their participation, including pose selection, personalization requests, safety considerations, and other interaction preferences, provided the advertised experience is delivered. 

  

BWP reserves the right to modify experience procedures, line management, and operational processes as necessary to ensure the safety, security, and efficient operation of the event.

Connect Terms

VERTICON CONNECT TERMS & CONDITIONS

1. Ticket Purchases 

All ticket sales are subject to availability. 

BWP reserves the right to refuse, limit, cancel, or modify any order due to inventory limitations, pricing errors, suspected fraud, unauthorized transactions, technical errors, or any circumstance deemed necessary to protect the integrity of the event. 

By completing a purchase, you represent and warrant that: 

  • You are legally authorized to use the payment method provided. 

  • All information submitted is true, accurate, complete, and current. 

  • You are at least 18 years of age or are purchasing with the consent of a parent or legal guardian. 

 

2. VertiCon Connect Tickets 

VertiCon Connect tickets are final sale, non-transferable, and valid only for the specific session identified on the ticket. 

Except as expressly provided in the VertiCon Connect Refund & Exchange Policy, tickets are non-refundable and may not be transferred to another attendee or another event. 

Your purchase signifies your agreement to abide by these Terms & Conditions, the VertiCon Connect Refund & Exchange Policy, the VertiCon Connect Code of Conduct, and any additional event rules or instructions communicated before or during the event. 

 

3. Guest Appearances & Scheduling 

Guest appearances are subject to professional commitments, production schedules, travel delays, health concerns, technical issues, and other circumstances beyond BWP's reasonable control. 

While BWP makes every reasonable effort to present the advertised Guests and programming, no Guest appearance, virtual Meet & Greet, Q&A session, workshop, panel, or other activity is guaranteed. 

Session dates, start times, durations, formats, and programming are subject to change without prior notice as operationally necessary. 

For the purposes of these Terms, a Guest cancellation occurs only when BWP officially announces that the Guest will no longer participate in the scheduled VertiCon Connect session. 

Changes to a session's date, time, platform, format, duration, or programming do not constitute a Guest cancellation and are not grounds for a refund except as expressly provided in the VertiCon Connect Refund & Exchange Policy. 

 

4. Technical Requirements 

Attendees are responsible for ensuring they have: 

  • A reliable internet connection. 

  • A compatible computer, tablet, or mobile device. 

  • Any required software or applications necessary to access the event platform. 

  • Access to the email account used during registration. 

BWP is not responsible for attendee-side technical issues, including but not limited to: 

  • Internet connectivity problems; 

  • Hardware or software failures; 

  • Firewall or network restrictions; 

  • Device incompatibility; 

  • Browser issues; or 

  • User error. 

If an attendee is unable to join or participate due to circumstances beyond BWP's control, the ticket is considered forfeited and is not eligible for a refund or exchange. 

Should BWP experience a technical issue that materially impacts the session, BWP will make reasonable efforts to resume, reschedule, or otherwise accommodate the affected session at its sole discretion. 

 

5. Session Attendance 

Attendees are responsible for joining their session at the scheduled time using the access information provided. 

Late arrivals, failure to join the session, failure to follow joining instructions, failure to monitor email communications, or inability to access the event due to attendee error do not entitle the attendee to a refund, exchange, replacement session, or other compensation. 

 

6. Participant Conduct During Sessions 

VertiCon Connect is intended to provide a safe, respectful, and enjoyable experience for all participants. 

Attendees are expected to conduct themselves respectfully toward Guests, moderators, staff, and fellow participants throughout the session. 

To maintain the quality, safety, and integrity of the event, BWP reserves the right, at its sole discretion, to: 

  • Mute or unmute participant microphones; 

  • Disable participant cameras or other platform features; 

  • Remove participants from a session, temporarily or permanently; 

  • Deny re-entry following removal; and 

  • Restrict or prohibit future participation in VertiCon Connect events. 

These actions may be taken if an attendee engages in conduct that is disruptive, abusive, threatening, harassing, discriminatory, inappropriate, or otherwise violates these Terms or the VertiCon Connect Code of Conduct. 

Guests reserve the right to decline any question, discussion topic, request, pose, gesture, or activity that they, or BWP, determine to be inappropriate, offensive, unsafe, or inconsistent with the purpose of the event. BWP moderators may intervene at any time to redirect or conclude such interactions. 

Participants removed from a session for violating these Terms or the VertiCon Connect Code of Conduct are not entitled to a refund, exchange, credit, or any other compensation. 

 

7. Recording & Intellectual Property 

Unless expressly authorized in writing by BWP, attendees may not record, livestream, screen record, capture audio or video, broadcast, retransmit, reproduce, distribute, publish, or otherwise preserve any portion of a VertiCon Connect session in audio or video format by any means. 

Attendees may take still photographs or screenshots for their personal, non-commercial use, provided they respect the privacy of other participants and do not violate these Terms or the VertiCon Connect Code of Conduct. 

BWP reserves the right to request the removal of screenshots or photographs that violate these Terms, infringe upon the privacy or rights of others, or are used in a misleading, defamatory, or commercial manner without authorization. 

Access links, meeting credentials, passwords, and other session access information are issued solely to the registered attendee for personal use. Sharing, distributing, selling, posting publicly, or permitting another individual to use these credentials is strictly prohibited and may result in cancellation of the ticket, removal from the session, and restriction from future BWP events without refund. 

All event content, including presentations, performances, discussions, graphics, branding, and other materials, remains the intellectual property of BWP and/or the participating Guest and may not be reproduced, redistributed, or commercially exploited without prior written permission. 

 

8. Photography & Media Release 

By participating in VertiCon Connect, you acknowledge and agree that BWP and its authorized representatives may capture screenshots, photographs, video recordings, audio recordings, or other media during the event. 

You grant BWP a perpetual, worldwide, non-exclusive, royalty-free license to use your image, likeness, voice, and submitted content for promotional, educational, archival, marketing, and event-related purposes without additional compensation. 

BWP reserves the right to watermark any media it owns, produces, or commissions and is under no obligation to provide unwatermarked copies unless otherwise agreed in writing. 

BWP is not responsible for photographs, screenshots, or recordings captured by third parties in violation of these Terms. 

 

9. Code of Conduct 

All participants must comply with the VertiCon Connect Code of Conduct. 

BWP reserves the right to refuse admission, mute, remove, block, or permanently prohibit any participant whose conduct violates the Code of Conduct or interferes with the safe, respectful, or orderly operation of the event. 

Participants removed for violating the Code of Conduct forfeit all associated tickets and are not entitled to a refund, exchange, credit, or other compensation. 

 

10. Account Suspension & Termination 

BWP may suspend or terminate access to any VertiCon Connect session, account, or future event participation at its sole discretion for violations of these Terms, the Code of Conduct, fraudulent activity, unauthorized use of access credentials, chargeback abuse, or any conduct that interferes with the safe or orderly operation of the event. 

 

11. Payment Disputes 

If you believe an error has occurred with your purchase, please contact support@verticonbwp.com before initiating a chargeback or payment dispute. 

BWP is committed to resolving legitimate ticketing concerns promptly and fairly. Initiating a chargeback or payment dispute without first providing BWP a reasonable opportunity to resolve the matter may result in suspension of your account, cancellation of tickets, or restriction from future BWP events, subject to applicable law. 

 

12. Changes to These Terms 

BWP reserves the right to amend or update these Terms & Conditions at any time. 

Material revisions will be published on the VertiCon website before taking effect. Continued use of the website or participation in VertiCon Connect after revised Terms become effective constitutes acceptance of those revisions. 

 

13. Governing Policies 

These Terms & Conditions should be read together with the following documents: 

  • VertiCon Connect Refund & Exchange Policy 

  • VertiCon Connect Code of Conduct 

  • VertiCon Privacy Policy

In the event of any conflict between these documents, these Terms & Conditions shall govern except where another policy expressly states otherwise.
