Info for Vendors

Participation by Vendors at Beemer Wolf Productions promoted events is strictly up to the sole discretion of Beemer Wolf Productions (BWP). BWP conventions feature live entertainment and Attendee/ Guest interactions. BWP does not allow vendors to offer, sell or promote merchandise that infringes upon copyrighted ownership or rights.

BWP does not allow psychics, tarot card readers, palm readers, etc. 

Final discretion on all vendor and merchandise permissions is decided by BWP.

Vendors may sell a variety of products that might appeal to the audience in attendance, including but not limited to: genre art, jewelry, novelty items, clothing, photo prints, items from other genre series, fan artwork, etc. NO pornographic materials are permitted.

ITEMS NOT PERMITTED:

• Photographs or images of any Guest in attendance at the convention, whether it be in or out of character, without express permission from BWP. 

• Any obscene or pornography materials.

Beemer Wolf Productions is not responsible for any lost or stolen items/merchandise at any time during the convention. It is suggested that vendors carry adequate insurance. 

​

Every vendor selling must have a valid Sales Tax Number for the state in which the event is taking place, valid at the time of purchasing your vendor table.

SET UP INFORMATION

Set up times will be forwarded to you the week of the convention. Set up Is done on the day prior to the beginning of the convention. 

The Vendors room is generally open to Attendees once set up is complete, and closes late each evening. All vendors must be present during the set up day. These are general guidelines, and some exceptions apply depending on the availability of each facility.

VENDOR AGREEMENT

• By purchasing a table, the Vendor agrees to hold Beemer Wolf Productions, and any of its collaborators or partners, FREE FROM ANY LIABILITY for any loss/damage of merchandise or injury sustained during the attendance at this event. 

• Vendors may not distribute literature or in any way promote events not produced by BWP. 

• Vendors may not collect names, addresses, or e-mail addresses of Attendees without written permission of BWP. 

• Vendors may not sublet/lease their space to other companies or persons, nor bring celebrities to their table without written approval of BWP. 

• The vendor room is secured and locked by the facilities security during non-event hours. Beemer Wolf Productions takes no responsibility for items lost of stolen during or outside convention hours, nor during pre and post convention. It is the sole responsibility of the Vendor to carry adequate insurance for inventory. 

• Vendors are responsible for keeping their area clean, and free of clutter or trash. Please provide your own method of garbage collection and properly dispose of any trash, unwanted items, food, etc. 

• Vendor tables are non-refundable and non-transferable.

TABLE PRICES

Table prices cover all the days of the convention and include ONE table (approx. 2' by 6'), TWO chairs, TWO vendor wristbands for the convention vendors room ONLY during convention hours. Vendors passes do not guarantee access to the convention theatre or any convention events.

Tables must be purchased by the MONDAY prior to the convention, while space is available (15 Tables available total). Location of vendor tables is done on a first come, first serve basis, in order that tables are purchased, with no exceptions. Vendors may negotiate with each other and "swap" table locations with permission from BWP only.

BEEMER WOLF PRODUCTIONS RESERVES THE RIGHT TO DENY VENDOR ACCESS TO ANY EVENT, PRIOR, DURING OR AFTER THE EVENT ITSELF, IF BWP FEELS THAT PARTICIPATION BY ANY GROUP, COMPANY OR INDIVIDUAL HARMS THE EVENT (OR FUTURE EVENT) OR THE COMPANY IN ANY WAY. BWP RESERVES THE RIGHT TO HAVE FINAL DISCRETION ON ANY VENDOR, COLLABORATOR OR INDIVIDUALS INVOLVEMENT IN BWP EVENTS.
